Hand Over the Furnishing Project with a Usable Record Pack

A finished room is only part of the handover. The operating team needs enough information to clean, inspect, repair, and replace its contents after the original buyer or designer leaves. Assemble the handover pack during the project so important labels and decisions are not lost by launch day.

Make the decision from the actual setup

Include the approved scope, final inventory, actual product identifiers, care and assembly documents, warranties, receipts in appropriate private records, and spare-stock information. Add room-reset photos and ordinary guest-control instructions. Record approved substitutions so the documents match the installed property. Keep confidential billing, access, and account details separated from general working guides.

Close the pack with unresolved issues and responsibilities. Mark essential defects distinctly from optional styling, assign an owner, and state the evidence needed to close each item. Ask the manager and cleaner to find several documents in a trial handover. A large folder is not useful if the team cannot identify the right care instructions.

  2. Provide care, assembly, warranty, spare, and replacement information linked to item identifiers.
  3. Include reset photographs, control instructions, and seasonal procedures used by the local operating team.
  4. Separate confidential receipts, billing details, access information, and account data into appropriate private records.
  5. Test document retrieval with the manager and cleaner, then assign ownership of future updates and open issues.

Carry the decision into the handover

Keep a dated version of the pack and a practical current working view. After replacements or layout changes, update the affected records rather than relying on the original project folder. The handover is complete when the team can use the information to maintain the property and clearly see what remains unresolved, not when every file has been uploaded.
