How to approve furniture substitutions without losing the plan
An out-of-stock item should trigger a short fit and scope review. A visually similar replacement may have different dimensions, care requirements or delivery timing. Use an approval record before the substitute is ordered.
Identify the role of the original item
Record why it was selected: dimensions, seating capacity, material, finish, cleaning method and delivery date. Distinguish non-negotiable requirements from preferences. A sofa chosen to pass a narrow stairwell cannot be replaced based on color alone.
Compare the actual specification
Put the original and proposed item side by side. Check packed and assembled dimensions, weight, access, care instructions and parts availability. Confirm that the change does not create a second substitution elsewhere, such as a larger rug or a smaller coffee table.
Approve the complete cost
List product price, freight, assembly, return implications and any installation delay. Name the person who approves changes and record approval before purchase. An informal message saying that something looks fine should not replace a record of what was actually accepted.
Update downstream records
Replace the product in the order tracker, floor plan, care inventory and installation brief. Notify the person receiving goods so the new model is not treated as an unexplained mismatch. Keep the original decision visible for future reference.
A worked planning scenario
A hypothetical replacement bedside table is cheaper but wider. On the floor plan it prevents a closet door from opening fully. The host rejects it despite the price saving and requests a narrower alternative with the same storage function.
