What belongs in a rental furnishing project handover
The handover connects design decisions to everyday operation. A host needs to know what was installed, how to care for it and who resolves unfinished work. Collect those records before the project team disperses.
Record the installed property
Capture the actual furniture and finish schedule, including substitutions. Save room layouts, product identifiers and photographs. Keep the latest version clearly marked so a future order is based on the installed product rather than an early concept board.
Build a care and replacement file
Collect manufacturer instructions, cleaning limitations and parts information. Give the turnover team the details needed for routine care, and identify work that requires a specialist. Store receipts and warranty terms with the relevant item instead of in an unrelated email archive.
Separate complete work from open work
Attach the punch list with owners and target dates. Record outstanding claims, delayed products and any temporary arrangements. The handover should make it obvious what has been accepted and what still requires action; a final styling photo is not a substitute for that record.
Transfer practical ownership
Confirm who manages supplier contacts, returns and replacement approvals after the project. Walk the local team through controls, storage and room reset photos. Schedule a review after initial use so operational problems can be documented and resolved.
A worked planning scenario
A hypothetical remote owner receives a beautiful photo set but no sofa model number. When a cover is damaged, ordering a matching replacement becomes difficult. A complete handover includes the actual model, finish, care instructions and spare-cover reference alongside the photo.
